Gurwin Jewish Nursing & Rehabilitation Center Administrative Assistant in Commack, New York

Gurwin Healthcare System is a full continuum of care providing extraordinary care and caring to the people that we serve. Set on a 36-acre campus in Commack, NY, the Gurwin Healthcare System includes the 460-bed Gurwin Jewish Nursing & Rehabilitation Center, providing short-term rehabilitation and long-term skilled nursing care, memory care, respiratory and ventilator care, palliative and hospice care, social and medical adult day programs, and on-site dialysis and infusion therapy. Sharing the campus is Gurwin’s Assisted Living community (Gurwin Jewish Fay J. Lindner Residences), our independent living community (Fountaingate Gardens) and Gurwin Certified and Licensed Home Care Services Agencies.

We are currently seeking a full-time Administrative Assistant to provide administrative/secretarial support for Administration who will embody the passion and commitment required to deliver the ultimate care for our residents.

Duties and Responsibilities:

  • Gen erate reports, memoranda and correspondence. Type, format and proofread a variety of materials. Collate and assemble reports and documents.

  • Record meeting minutes as instructed by Administration.

  • Maintain required records, files and compile required statistics.

  • Ability to respond to routine internal and external inquiries, orally or draft correspondence as assigned.

  • Receive all incoming calls and direct them to the appropriate party and/or department. Take messages and provide information according to established policies.

  • Provide coverage for main lobby receptionist during lunch and at other needed times.

  • Compose letters/memoranda as instructed including condolences, lost valuables and family letters.

  • Respond to concerns/complaints from departments and/or families and suggest appropriate referrals or inform Administration when situation warrants their attention.

  • Coordinate all appointments, meetings and activities of the Administrator.

  • Provide research and administrative support to special projects, preparing data and follow-up projects.

  • Provide/assist with coverage for medical records and the resident clinic.

  • Act as the gatekeeper for the DOH survey process and coordinate all necessary documentation. Maintain NYS DOH survey record book in lobby and Administration and FSR.

  • Ability to perform all other clerical duties accurately in a dynamic office environment.

  • Communicate in a pleasant and effective manner.

  • Bring priority mail and telephone items to the attention of the Administrator.

  • Receive, sort and stamp incoming/outgoing mail.

  • Deal discreetly with sensitive and confidential information concerning performance of staff and Gurwin Center affairs.

  • Maintain insurance certificates, vendor contract agreements, Resident Council, Safety Committee, Incident Review, etc., minutes as well as Business Associate Agreements.

  • Process check requests for payment for communication, security, etc. invoices as requested.

  • Process credit card invoices.

  • Perform duties in a safe manner.

  • Actively shares knowledge, fosters and promotes dissemination of information as it relates to organizational needs.

  • D emonstrate an attitude of cooperation and professionalism when dealing with staff, peers and supervisors.
